The challenge

A real business problem ready for a better approach.

Sector

Wine distribution and commercial sales

Wine deals combine customer terms, product pricing, discounts, margins and approval thresholds. Managing that work across spreadsheets makes it harder to keep calculations consistent, understand deal health and give commercial teams a reliable view of saved proposals.

The approach

From problem to working solution.

  • Translated the spreadsheet-led pricing process into a structured deal builder using customer, product and stock data.
  • Made deal value, margin and approval status visible while users create and edit quote lines.
  • Added saved-deal management, search and a commercial overview so teams can return to active work without relying on separate files.
  • Provided Word, Excel and PDF outputs, alongside offline saving and later synchronisation for resilient day-to-day use.

The outcomes

Improvement people can see and use.

  • Creates one controlled workflow for building and revisiting commercial wine deals.
  • Makes pricing, margin and approval requirements clearer before a proposal is shared.
  • Reduces manual spreadsheet handling while retaining familiar document outputs for customers and colleagues.
  • Gives commercial teams a more consistent, portable way to manage saved deal activity.

What the work reinforced

Lessons worth carrying forward.

  • Replacing a commercial spreadsheet requires preserving the decisions and outputs people depend on, not simply recreating its cells.
  • Margin and approval signals are most useful when they remain visible throughout deal creation.
  • Offline resilience matters for commercial tools used away from a reliable office connection.
